Changes in Status of PIs/Sabbatical

Any changes made in the participation of a Principal Investigator require written approval of GIF.

1. Change of Institutional Affiliation of a PI

If in the course of the GIF Grant if a PI changes his/her institutional affiliation, s/he must follow the procedure below:
1.   Notify GIF as soon as possible about the affiliation change. Please note that changes are possible only to a GIF eligible institution in the same country.
2.   The Grantee must submit to the GIF within 30 days after leaving the institution a financial report signed by the financial department of the institution s/he has left. Any surplus remained must be transmitted to the GIF within 60 days.
3.   Continuation of the research is conditional on the agreement of the new (receiving) institution to observe the work and budget plan of the research. For this purpose the new institution is requested to countersign a copy of the research contract. This must be done within 90 days from the change of affiliation; otherwise GIF will terminate the entire research project.
4.   The PI must inform GIF of the bank details of the new institution on the appropriate form, which can be downloaded here.
5.   If part of the research continues at the PI’s previous institution, it will be up to him/her to make the necessary arrangements, e.g. for payments due to employees remaining behind. GIF will only transfer payments to the new institution.
6.   The Grantee undertakes to ensure that any non-expendable (heavy) equipment and/or instruments acquired with the support of GIF funds accompany him/her to the new (receiving) institution.

2. Sabbatical Leave

Sabbatical leave during the first six months of the GIF Grant

During the first 6 months of the Grant a sabbatical leave is not permitted. Should you plan on taking a sabbatical leave in another country during the first six months of the Grant, the start day of the Grant for all PIs involved will be postponed to the beginning of the next fiscal year.

A request should be sent to science email.png. The request is to be submitted on the relevant GIF form​, and is to be signed both by the PI taking a leave and his counterpart(s) in the GIF Grant.
Please note that regardless of the actual starting day of the Grant, all required forms and documents for your Grant should reach the GIF offices by October 31st of the year prior to the original starting date of the Grant.

Please also note that in case of a no-cost extension of the Grant, the total permitted Grant period cannot exceed four years from the original starting date even in case of a sabbatical. The permitted duration of the no-cost extension will be shortened by the duration of the sabbatical leave.

Sabbatical Leave AFTER the first six months of the GIF Grant

A sabbatical duration of up to 12 months after the first six months of the Grant is permitted on the condition that the PI on leave continues to be sufficiently involved in the progress of the GIF Grant. This regulation acknowledges the widespread availability of options for communication between the researchers (e.g. video conferencing, email exchange, conferences etc.).

If you are planning a sabbatical leave during the GIF Grant period, a request should be sent three months ahead to science email.png​. The request is to be submitted on the relevant GIF form and is to be signed both by the PI taking a leave and his counterpart(s) in the GIF Grant.

All PIs’ responsibilities remain unchanged during the sabbatical period.

Please note: During a sabbatical leave, Principal Investigators will not be allowed to cover any of their expenses outside Israel or Germany from the Grant budget. Travel between the third country and Israel/Germany is not covered either. 

Important Note.pngPIs that prefer to "freeze" their research for the duration of their sabbatical leave should be aware that this precludes a no-cost extension; the duration of a GIF Grant cannot exceed four years from the starting date.
Important.pngThe PIs are encouraged to spend sabbatical leave at their partners' institutions with a view to furthering the joint project.
The Foundation will be pleased to help arrange a guest lecture aimed at making the results of their research available to the wider public. Each Grantee should take this opportunity at least once, preferably towards the conclusion of the project. An abstract of this presentation should be included in the next scientific report.

3. Withdrawal From a Project

When a PI withdraws from a project, the affiliated institution should recommend a replacement and submit a curriculum vitae as well as a list of relevant publications for approval by the relevant GIF's scientific advisor. GIF is not obliged to approve the suggested substitute PI. Pending GIF’s approval the project and its funding will be temporarily suspended.

4. Dispute between the Principal Investigators

In case of a dispute between the PIs, it is their responsibility to inform GIF as soon as possible.
Otherwise, the foundation is entitled to reclaim the full amount of the Grant budget.
The Grant will be terminated.
Change of a PI will not be accepted as a solution in such cases.

5. Additional Investigator

To add an investigator to an ongoing project, the PIs should submit an official joint request to the GIF; adding the candidate's curriculum vitae and list of relevant publications, signed by the investigator and the authorizing official of his institution. The request should be accompanied by a letter of agreement from all the PIs, and an explanation and justification as to his/hers contribution to the research grant and a request for an amended budget distribution.
GIF is not obliged to approve the suggested additional PI.

6. Case of Death

In case of death of a researcher who was the sole Principal Investigator on one side, the Grant should be terminated. If, however, his/her institution or his/her partner in the other country can suggest a suitable replacement, GIF will submit his/her credentials to the relevant scientific advisor for approval. If the advisor's answer is positive, and the original PI’s partner(s) has given their approval as well, GIF will send an official letter of appointment to the new investigator. GIF is not obliged to approve the suggested substitute PI.
During the time it takes to find a suitable replacement and obtain approval for his/her appointment, the academic head of the department of the deceased should take responsibility for supervising the project. The head of department will be entitled to engage a salaried employee, who will be paid out of Grant funds, to do the most urgent work of the deceased until the successor takes over. This arrangement will be limited to three months.
