Submitting scientific reports is a mandatory request to all PIs.
1. Annual Scientific Progress Reports / Final Scientific Report
The annual scientific reports in the GIF Regular Program must be prepared and signed jointly by all PIs.
Each report should include:
A cover page signed by all partners.
Abstract
Time schedule
Background (original goals from the original proposal)
Description of the progress/results
Evaluation of the research achievements in relation to the original proposal
List of publications
Plan for the next year / for the final financial report: evaluation summary (see notes on final scientific report below)
List of visits/meetings/workshops/conferences
References
With the final report: a PDF of each joint scientific paper based on the project
The forms for the cover page and for the scientific report (including instructions) can be downloaded here.
GIF Reporting Periods (for Scientific AND Financial Reports)
The reporting periods for GIF annual reports are calculated in 3 periods of 12 months from the starting date of the Grant.
If the starting date of the Grant was postponed, the 12 months’ reporting periods are delayed accordingly:
Starting Date |
Reporting Period |
Reporting Due Date |
January 1 |
January 1 – December 31 |
March 31 |
April 1 |
April 1 – March 31 |
June 30 |
July 1 |
July 1 – June 30 |
September 30 |
October 1 |
October 1 – September 30 |

All reports should be
submitted no later than 3 months after the end of the reporting period. Delay
in reporting will cause delay in the next payments. For list of payment dates
please see here.
Please note: If a proof of concept is needed for the joint research, positive proof of concept must be submitted in an interim scientific report after the first 18 months of the Grant. Positive proof of concept is prerequisite to the continuation of the Grant and further payments.
Note on No-Cost Extension:
If a No-Cost Extension of the Grant was approved, all reports for the 3rd reporting period need to be submitted only after the end of the extension period. (The 3rd report for Grants with No-Cost Extension can thus include a period of up to 24 months.)
Interim reports at the original end date before extension of the Grant are not required.
The reports should be emailed to
. Before sending the scientific report by email, please contact your IT specialist to check if the size of the file is supported by your mail server. We can receive emails of up to 10MB. Please keep the originals in your file in case the GIF control committee requests it.
If the file is too heavy please send it by regular mail and inform us by email that the scientific report was sent.
The scientific reports will be sent to the scientific advisors for evaluation.
2. Notes on Final Scientific Report
Together with the final scientific report, the Grantees are required to submit a short evaluation summary (form available for download here). This survey is considered as an integral part of the final report; until it is submitted and approved by GIF, the Grant will not be concluded and the final payment will be withheld.
Furthermore, the Grantees should submit with the final scientific report a short abstract of their project that will appear on the GIF website for the benefit of the scientific community for further scientific ties. Interested parties will be directed to the PIs for further details and/or a copy of the full report.
Upon acceptance of the Final Report and the evaluation summary, the project will be considered officially terminated. A letter of notification will be sent by the GIF to all Principal Investigators (PIs) and institutions.
